Privacy notice

Last updated: 2026

vSpes (“we”, “us”) provides vSpes, a video meeting service. This notice explains what personal data we collect, why we collect it, who we share it with, and the choices you have. It is written to meet the Nigeria Data Protection Act 2023 (“the Act”).

Who is responsible for your data

When you create an account or use vSpes directly, we are the data controller. When a school, business or organisation sets up vSpes for its members, that organisation is the data controller for the data of its members and we process the data on its instructions. In that case, please direct data requests to the organisation first.

What we collect

  • Account details: name, email address, organisation and organisation type.
  • Meeting details: meeting titles, times, participant names and the meetings you join or host.
  • Device and connection data: device type, browser or app version, and connection quality, needed to run the meeting.
  • Content you choose to share: chat messages, files, polls and whiteboard content during a meeting.
  • Recordings and transcripts: only when a host starts a recording or turns on transcripts. Participants are told when this happens.
  • Support messages: anything you send us by email or through our forms.

Why we use it and our legal basis

  • To provide the meeting service and keep your account secure (performance of our agreement with you).
  • To respond to your support requests and improve reliability and safety (legitimate interests).
  • To meet legal and tax obligations (legal obligation).
  • Where you ask us to, for example when you opt in to optional features (consent, which you can withdraw at any time).

We do not sell personal data, and we do not use meeting content to build advertising profiles.

Who we share it with

We share personal data only with service providers who help us run vSpes, such as hosting and email providers, and only as far as needed for them to do that work. They are bound by written contracts to protect the data. We may also disclose data where the law requires it. Meeting participants can see what is shared in a meeting, as the host and participants choose.

Cookies

We use only the cookies needed to keep you signed in and to keep the service secure. We will ask for your consent before we use any cookies that are not strictly necessary, and this notice will be updated if that changes.

How long we keep it

We keep account data while your account is active. When you close your account, we delete or anonymise your personal data, except where we must keep it for legal, tax or dispute reasons. Recordings are kept until the host deletes them, or as the organisation’s own retention settings require.

Security

Meetings and account data are encrypted in transit. Access to our systems is restricted to staff who need it, and we protect accounts with passwords and optional two-factor authentication. No online service can be guaranteed to be completely secure, so we also ask you to keep your sign-in details private.

Children and students

vSpes may be used by schools with students. The school acts as the data controller and we process student data only on its instructions, under a written data processing agreement. We do not market to children, and we do not build profiles of students. Where consent is required for a child, it must be given by a parent or guardian, or by the school where the law allows.

Your rights

Under the Act you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted in certain circumstances;
  • object to, or restrict, some kinds of processing;
  • receive your data in a portable format; and
  • withdraw consent at any time, where we rely on consent.

To use any of these rights, email vspes@mcariel.com. We will verify your identity and respond within the time required by the Act. You also have the right to complain to the Nigeria Data Protection Commission.

Changes to this notice

We will update this notice when our practices change, and we will tell you about significant changes by email or in the app before they take effect.
